Terms and Conditions

Welcome to Hotel Photography India (“Company,” “we,” “our,” or “us”). By booking, purchasing, or using our services, you (“Client,” “you”) agree to the following Terms and Conditions. Please read them carefully before engaging our services.

1. Services

We provide professional hotel and hospitality photography and related production services. The exact scope of services, deliverables, and timelines will be agreed upon in writing before each project.

2. Payment and Fees

  • A non-refundable advance (booking fee) is required to confirm any project dates.

  • Final payment is due prior to delivery of final images, unless otherwise agreed in writing.

  • All additional expenses (travel, accommodation, props, styling, permits, etc.) will be billed to the Client unless explicitly included in the agreed package.

3. Cancellations and Rescheduling

  • Cancellations made less than 14 days prior to the scheduled shoot date may incur a cancellation fee of up to 50% of the agreed project fee.

  • Rescheduling is possible subject to crew availability and may incur additional costs if travel or production expenses have already been committed.

4. Delivery of Images

  • Final edited images will be delivered in both high-resolution and web-ready formats within 15–20 working days after the shoot, unless otherwise agreed.

  • Rush delivery may be available at an additional cost.

5. Usage Rights

  • Upon full payment, the Client is granted a non-exclusive, non-transferable license to use the images for marketing and promotional purposes, including OTAs, websites, social media, PR, and advertising.

  • The Company retains all copyright ownership of the images.

  • Images may not be resold, sublicensed, or used by third parties without prior written consent.

6. Client Responsibilities

  • The Client must ensure that property spaces are camera-ready and that all necessary permissions (including staff and guest clearances, if applicable) are obtained prior to the shoot.

  • The Company is not responsible for delays or additional costs caused by incomplete preparation, restricted access, or operational disruptions.

7. Booking Boost Guarantee

We stand by the quality of our work. If you do not see a clear increase in clicks, inquiries, or bookings within 90 days of consistently using our visuals:

  • We will reshoot the agreed deliverables at no additional service fee.

  • However, the Client is responsible for all production costs associated with the reshoot (crew travel, accommodation, styling, props, permits, etc.).

  • Guarantee eligibility requires that the Client uses the delivered visuals consistently across OTAs, websites, and marketing channels. Misuse, incomplete implementation, or modification of visuals by the Client voids the guarantee.

8. Limitation of Liability

  • While we aim for the highest professional standards, the Company is not liable for indirect, incidental, or consequential losses, including but not limited to lost revenue, reputational harm, or third-party actions.

  • In no case shall the Company’s liability exceed the total amount paid by the Client for the project.

9. Force Majeure

The Company is not liable for delays or failure to perform due to events beyond reasonable control, including but not limited to natural disasters, government restrictions, strikes, or illness.

10. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts located in Mumbai, Maharashtra.

11. Amendments

We reserve the right to update or modify these Terms and Conditions at any time. Any changes will be posted on our website, and continued use of our services implies acceptance of those changes.
